We currently have a vacancy for a full time Health & Safety; Data Protection; Transport and Facilities Co-ordinator – Operations Dept.

Main areas of responsibility

  • Ensure all requirements of H&S legislation and company policy, fire risk assessment and li-censing regulations are adhered to at all times
  • Sole responsibility for all EH&S policies, CCTV and DSE requirements
  • Write and implement all required building and facilities policies, procedures and risk assessments, in accordance with current legislation and best working practice
  • Oversee and manage building and facilities staff and contractors
  • Work with the relevant heads of department to ensure all spaces, installations and equipment are maintained correctly to ensure great customer service for all visitors to the theatre, including assisting in the coordination of independent inspection and certification where required – assist in carrying out works as required
  • Act as lead contact for external contractors, ensuring compliance with all safety and security procedures
  • Act as lead contact for regular inspections of GFS building both internal and external
  • Ensuring that reactive and/or proactive maintenance is carried out on all GFS properties in a timely manner
  • Project manage minor and major maintenance and small works projects, whilst coordinating and overseeing departmental involvement with external contractors
  • Ensure external contractors use safe working practices, and relevant licences, permissions, and permits to work etc. are in place and managed;
  • Ensure high standards of cleanliness as possible for all GFS sites
  • Responsible for accident and incident reporting and filing, and maintenance of records of current First Aiders, Fire Wardens and First Aid box provision
  • Liaise with HR to ensure adequate training of dedicated staff for First Aid; Fire Wardens & Manual Handling
  • Maintain a central record of legislative and statutory test and inspection documentation, permissions and licences, and records of building maintenance and safety checks and inspections
  • Maintain accurate records of quotes, tenders, orders, invoices and receipt notes for services and goods received
  • Delivery of GFS vehicles to offices/depots as necessary
  • Arrange and monitor vehicle inspections and reports
  • Arrange vehicle MOTS; Service as necessary
  • Arrange for repairs/quotes as necessary ensuring costs are allocated and recharged as
  • Ensure accurate records are maintained with regards to vehicle maintenance costs etc
    Ensure GFS Group are compliant with data protection legislation and specifically GDPR
  • Be conversant in current policy and practice relating to the Data Protection Act and appropriate use of information, implementing internal policy and practice updates
  • Inform and advise the Board about our obligations to comply with GDPR and other data protection laws
  • Monitor compliance with GDPR and other data protection laws and our internal data protection policies
  • Manage internal data protection activities; raise awareness of data protection issues; train staff and conduct internal audits
  • Advise on and monitor data protection impact assessments
  • Co-operate with the DPA and be the first point of contact for the DPA and individuals whose data is processed
  • All other reasonable requirements as specified by senior management
  • Qualifications and skills
  • Ideally AAT studier (not essential)
  • Minimum of 1 years’ experience of working in a busy office environment
  • Use of accounting systems
  • IT literate with strong Excel skills

Education and experience


  • Well versed in H&S; Facilities and Transport (Fleet Management) best practices
  • Proven experience as H&S and Facilities Management or relevant position
  • Knowledge of Health & Safety
  • Regulations Knowledge and understanding of GDPR and Data Protection requirements
  • Good level of English & Maths


  • Occupational H&S NEBOSH certification
  • IOSH Membership
  • Experience in reporting incidents and accidents
  • Experience in the parcel industry
